Private Mail: providing personal mail services for staff and students

Services described on this page apply to non-account customers only.

Postal Services in the basement of Whiteknights House make some of our services available to Students and Staff. We don't provide moving services or collection services from any University locations. Please bring items ready to post as you would for a Post Office. We no longer provide packaging supplies or space to prepare items. The whole of Whiteknights House is a Covid-secure area. Please observe all signage, keep your distance, wear a mask, and minimise contact while you are in Postal Services. The following outgoing mail services are available:

Sending international mail

  • Please be aware that if you are sending non-letters outside of the UK, you will have to complete a customs declaration form or a detailed Pro-Forma invoice. This may take some time. If you are sending something like this, please contact us in advance about the documentation to give yourself time to complete it in advance.

    Since April 2017 the University's courier service suppliers (DHL and Parcelforce) have been required by UK's Office of Financial Sanctions Implementation (OFSI) in respect of 'Denied Parties' legislation to check sender and receiver details against a government database. To this end, we are required by the carriers to supply the full names and email addresses of sender and receivers of all qualifying items. If you are unable to supply this information for qualifying items we will be unable to post them.

Freepost returns

We make no charge for using these services (includes proof of posting if required).

Our counter staff will help you to choose the most suitable service based on your requirements. You can also contact us with any queries; however, we may be unable to provide quotes until we have accurately weighed the items.

Campus Card

We currently offer an extra discount on all parcel and mail services overseas and within the UK if you use your Campus Card to pay. This does not apply to Royal Mail monopoly UK services where we can only apply minimal initial discounts.

Please note: Postal Services is only accessible from the staircase next to reception.

Opening hours

We serve private customers between 9.00 to 16.00, Monday to Friday. However, if you have more than one large parcel to post overseas, please bring them before 2pm. This is to ensure that at busy times we can process the items to leave the University on the same day.

Note for Account Customers Only

These opening hours do not apply to Departmental/Account mail, which we can process between 8.30am and 4.30pm. Please can account holding customers bring large or complex to process items before 4pm (trackable, international, timed services), or 2pm for urgent courier items. Items have to be processed and prepared before final carrier collection times.
